At its 3 July 2008 meeting, the Board of Directors adopted the following based on Rotary International’s (RI) privacy policy:

Rotary Club of Hundred Islands is a worldwide organization of business and professional leaders that provides humanitarian service, encourages high ethical standards in all vocations, and helps build goodwill and peace in the world. Fifity-five Rotarians belong to Rotary Club of Hundred Islands from three city/municipalities of Western Pangasinan.

Rotary Club of Hundred Islands is referred to as “RCHi” in this privacy statement. In the course of fulfilling its mission of supporting Rotarians and their Rotary clubs, RCHi collects personal information regarding the individuals it serves. RCHi is committed to maintaining the privacy of these individuals.

RCHi has adopted this privacy statement to affirm this commitment and to assure transparency in how it collects, retains and uses personal information.

What is personal information?

Personal information is information that identifies or describes a Rotarian or other individual, including but not limited to name, contact information and email address.

Why RI collects personal information

RCHi collects personal information to be used for the following purposes:

•    Financial processing including but not limited to billing and payments.

•    Supporting The Rotary Foundation including but not limited to fund development, grants, awards, recognition, and promotion.

•    Tracking membership trends, identifying Rotarians for appointments to leadership positions and supporting membership retention.

•    Communicating key organizational messages through RI publications and appropriate club and district officers.

•    Facilitating the planning and operation of international conventions and other meetings and special events.

•    Supporting and further developing programs and service activities.

•    Facilitating participation in programs and activities.

•    Communicating information to non-Rotarians including but not limited to alumni and licensees.

When RCHi may disclose personal information to others

RCHi may disclose personal information about Rotarians and other individuals to others as necessary to facilitate the purposes of RCHi.

For instance, RCHi may provide personal information to organizations that perform administrative services on its behalf. In such cases, RCHi requires these organizations to implement specific protections to safeguard this information.

Further, at the direction of the RCHi Board of Directors, RCHi may occasionally participate in special advertising and/or marketing initiatives that involve the release of personal information. RI will notify affected Rotarians about these initiatives and give them the opportunity to decline participation.

RCHi may also disclose personal information when:

•    Such information is already otherwise available to the public.

•    Such disclosure may be required by law.

•    When necessary to protect the rights, privacy, safety or property of an individual or group.

Protection of personal information

RCHi will implement appropriate controls to monitor and assure compliance with this privacy statement, including the utilization of reasonable security measures to prevent unauthorized access to or inappropriate use of personal information. RCHi will immediately respond to any unauthorized access to or inappropriate use of personal information or any other violation of this privacy statement.

RCHi will protect the security of personal information on HundredIslandsRotary.org by using password-protected areas and other appropriate security measures. RCHi will restrict access to personal information available on HundredIslandsRotary.org to appropriate persons.

Accuracy of personal information

RCHi will take reasonable steps to ensure that personal information it retains is accurate. RCHi will provide reasonable access to individuals seeking to confirm or correct their personal information.

In its efforts to ensure that RCHi is following appropriate privacy standards, RCHi will periodically review and update as appropriate its privacy policy.
